A

Audit Log
Audit Log / Activity History
A record of who created or changed a record and when. Useful for troubleshooting and accountability.

Contact
A person record in HelpOne. Contacts can be donors, volunteers, event participants, staff, or any individual your organization works with.

D

Dashboard
The main home screen you see after logging in. It shows an overview of recent activity, upcoming events, campaign progress, tasks, and key metrics.
Donation
A completed gift of money or other assets received from a donor and recorded in HelpOne.
Acknowledgment
Donation Acknowledgment
A thank-you email or letter sent to a donor to confirm receipt of their gift. Often required for tax purposes.

Email Template
A pre-written message (with optional merge fields) that can be reused for thank-yous, reminders, and other outreach.
Equipment
Equipment / IT Asset
A physical item tracked in HelpOne such as a laptop, projector, camera, or other asset.
IT Asset
Equipment / IT Asset
Technology or equipment tracked for inventory, assignment, and lifecycle management.
Assignment
Equipment Assignment (Checkout)
The record of who currently has a piece of equipment and when it was given to them.
Event
An organized activity such as a fundraiser, workshop, volunteer workday, gala, or community program that is tracked in HelpOne.
Check-In
Event Check-In
The process of recording that a participant or volunteer has arrived at an event.
Registration
Event Registration
The process or record of signing a person up for an event, often including ticket type, guests, and special requests.
Expense
A cost incurred by the organization (supplies, travel, software, event costs, etc.) that is recorded for tracking and reporting.
Expense Category
A classification used to group expenses (for example, Program Supplies, Travel – Staff, or Event – Catering) so reports are meaningful.

Campaign
Fundraising Campaign
A specific fundraising effort with a goal, start and end dates, and related donations and pledges (for example, an annual appeal or gala).

Global Search
Global Search
The search bar usually located at the top of the screen that lets you quickly find contacts, campaigns, events, and other records across HelpOne.

HelpOne
HelpOne
The all-in-one nonprofit software platform used by your organization to manage contacts, fundraising, volunteers, events, expenses, and more.

M

Mail Merge
Mail Merge / Bulk Email
Sending a personalized email to many people at once using a template and a list of contacts or participants.
Merge Field
A placeholder in an email template (such as First Name or Donation Amount) that is automatically filled with real data when the message is sent.

O

Organization
Organization (Company)
A group or entity record such as a foundation, business, church, school, or partner organization. Contacts can be linked to organizations.
Company
Organization (Company)
Another name for an Organization record in HelpOne.

P

Participant
Participant (Attendee / Registrant)
A person who is registered to attend or take part in an event. Also called an attendee or registrant.
Attendee
Participant (Attendee / Registrant)
Another name for a Participant — someone registered for or present at an event.
Registrant
Participant (Attendee / Registrant)
Another name for a Participant — someone who has signed up for an event.
Permission
Permissions / Role
The level of access a user has (for example, Administrator, Staff, or Read-Only).
Role
Permissions / Role
A set of permissions assigned to a user that controls what they can see and do in HelpOne.
Pledge
A commitment to give money in the future. Pledges can be paid in one or more installments and are tracked separately from completed donations.

R

Recurring Donation
Recurring Donation (Gift)
A gift that repeats automatically on a schedule (monthly, quarterly, etc.).
Report
A view or export of data from HelpOne (donations, volunteer hours, event attendance, expenses, etc.) used for analysis and sharing with boards or funders.

S

Soft Credit
Credit given to someone other than the legal donor (for example, recognizing a person who influenced a gift from a foundation or company).

T

Task
Task / Follow-Up
A to-do item with a due date and responsible person, often linked to a contact, donation, or other record.
Follow-Up
Task / Follow-Up
Another name for a Task — an action that needs to be completed by a certain date.

U

User
A person who has a login to HelpOne and can view or edit records according to their permissions.

V

Vendor
A company or individual from whom the organization purchases goods or services.
Volunteer
A person who offers time and skills to support your organization’s mission without being paid as staff.
Availability
Volunteer Availability
The days and times a volunteer is generally free to serve, used when scheduling them for events or shifts.
Volunteer Hours
The time a volunteer has contributed. Tracking hours supports recognition, grant reporting, and understanding engagement.

W

Walk-In
A person who attends an event without having registered in advance. They can usually be added and checked in on the day of the event.
